如何写好英文邮件书 书写格式是什么

1、Address

a definite address 地址要确切

When we write e-mail , the address is a problem that must not be ignored .There are three types of address in e-mail : the first type is an ordinary address , the second type is a “cc”address , the third type is an encrypted address .

当我们写电子邮件的时候,地址是一个绝对不能忽视的问题。英文电子邮件通常有三种类型的地址:一种是普通电子邮件地址,一种是抄送电子邮件地址,还有一种是加密电子邮件地址。

2、Subject

an concise subject主题要凝练

A good subject should be able to summarize the content of the text , to the other person knowing as quickly as possible what our text is trying to say . In other words , the subject is , in a way , a mouthpiece for the text . But we also should be careful to keep the theme simple .

为了使对方能够尽快洞悉我们在表达什么,一个优秀的主题应该能凝练正文的内容。换句话说,主题在某种程度上是正文的传声筒。但是,我们也应该注意保持主题的简洁。

3、Salutation

an appropriate salutation 称呼要恰当

Some people jump straight into the text of an e-mail without so much as a “hi”. It’s polite to add a salutation , just as you would with a letter . That might look like : Dear Sir/Madam , Dear Mr.Johnson , Hi Sue , Hello Fred .

有些人写邮件不喜欢加称呼,甚至连简单的“你好”都忽略。和你一样,大家都认为写明称呼是一种礼貌。关于称呼,你可以这样写:亲爱的先生/女士、亲爱的约翰孙先生、你好,苏。

【1】正式的称呼(长辈/上级):Hi Sue / Hello Fred

【2】非正式的称呼(同辈/亲朋/同事):Dear Sir / Dear Mr.Johnson

4、Opening

a purposeful opening开头要澄清意图

It’s important to clarify intent at the beginning , and thanking the reader is the best way to start an e-mail , especially in case of mutual request .

在邮件开头澄清你的来意非常重要,而感谢读者是最好的开场白,特别是在需要对方提供帮助的情况下。

【1】如果你主动给别人写邮件表明意图:I am writing to……

【2】如果回复客户的咨询,向他们表示感谢:Thank you for contacting us……

【3】如果对方已经回复过你一份邮件,你要表示感谢:Thank you for your prompt reply. / Thanks for getting back to me .

【4】如果你询问一些信息,对方花了一点时间回复你:Thank you for providing the requested information .

【5】如果对方给予你一些特别的帮助:Thank you for all your assistance . / I truly appreciate……

【6】如果对方对你的工作提出了一些质疑:Thank you for your feedback .

5、Body

a clear text正文内容要清晰

The body is the main content of an e-mail , and lack of clarity in the text means that the whole e-mail fails . So making the text clear is a central task for the writer , and using numbers is the most common way to make content structured and cleared .

正文是电子邮件的主要内容,正文表达不清楚就意味着整份电子邮件失败了。所以,让正文结构清晰就成了写信人的核心任务,而使用编号是将内容结构化、清晰化最常用的方法。

6、Ending

a happy ending 结尾要感谢

Thank the recipient again before you close the e-mail .在邮件结束之前,应该再次感谢收信人。

【1】感谢您的倾听和合作。Thank you for your patience and cooperation .

【2】感谢您的贴心支持。Thank you for your consideration .

【3】如果您有任何问题和担忧,马上联系我。If you have any questions or concerns , don’t hesitate to let me know .

【4】期待您的来信。I look forward to hearing from you .
